Senior Administrative Assistant

The Texas Learning and Computation Center (TLC2) at the University of Houston is a university wide center that fosters and supports collaborative multidisciplinary research, education, and training to improve the understanding of the world around us as well as the technical skills of tomorrow's workforce The Center is seeking a dynamic individual to be an integral part of the administrative team.

Reporting directly to the Director and Associate Director, this is a high profile position with wide-ranging responsibilities and requires someone with good administrative skills, who is diplomatic and well organized, with superb client relations skills. The ideal candidate will have a minimum of five to seven years' experience directly supporting senior-level executives in the areas of strategic planning, project management, technology and client relations. Familiarity with an academic environment dealing with grant administration is desired.

The Executive Assistant will coordinate the Director/Associate Director's strategic involvement in key projects and special initiatives and manage all administrative aspects of the Director/Associate Director's office. The successful candidate must be innovative, detail oriented, with excellent verbal and written communication skills. Candidate must be proficient at prioritizing multiple tasks, meeting deadlines, and able to streamline work flow.

Responsibilities include, but are not limited to:
  • Exercise sound judgment in managing phone calls and other inquiries.
  • Work independently and anticipate the Director/Associate Director's needs.
  • Manage various special projects with critical deadlines.
  • Manage Director/Associate Director's expense reports, complex daily schedule, including international travel arrangements.
  • Ability to multi-task with uncompromising attention to detail.
  • Create, transcribe, and edit correspondence.

Knowledge, Skills, and Abilities
  • Confidence to be assertive in managing day to day demands on the office of the Director/Associate Director.
  • To discreetly advise the Director/Associate Director on matters of concern.
  • To appropriately manage relationships with high level individuals who may from time to time need to interact with the Director/Associate Director.
  • Ability to anticipate scheduling conflicts, future demands on the Director/Associate Director's time, and details that need to be attended to in advance and respond accordingly.
  • Excellent oral and written communication skills.
  • Good judgment and ability to deal effectively with diverse responsibilities in a hectic environment.
  • Excellent organizational, detail oriented, communication and interpersonal skills.
  • Ability to handle and prioritize conflicting demands and multiple tasks in a timely manner.
  • Ability to work and communicate effectively and diplomatically with all individuals with whom the Director/Associate Director interfaces, including state, federal, private sector and international visitors.
  • Tact and discretion in dealing with sensitive and confidential matters.
  • Excellent skills, flexibility, diplomacy, follow-through and rigor.
  • Ability to work independently and exercise good judgment.
  • Ability to read people, their subtle communications, styles, moods, concerns, needs, and hot buttons in order to support the Director/Associate Director in responding accordingly and in order to take the initiative to resolve issues satisfactorily early on.
  • Unflappable, organized, and focused in demanding times.
  • When given broader direction, demonstrates the ability to be proactive, decisive and dependable in managing the business of the Director/Associate Director.
  • Excellent independent problem-solving skills.
